Policy Bowl makes strides in simplifying our clinical policies

On Oct 25-28, caregivers from across our connected ecosystem came together for a Policy Bowl – a fun football-themed event designed to be an all-out blitz on the cumbersome processes, conflicting procedures and duplicative clinical policies housed in PolicyTech. This event was held in response to your feedback shared in our associate and physician engagement surveys and from our nursing teams in Focus on Action sessions across the enterprise – thank you for speaking up about how challenging it can be to locate and access the clinical patient care policies you need in our current system.

20 interprofessional teams, including representatives from every Centura hospital and diverse service lines and clinical specialties, spent four days reviewing the more than 4,000 acute care policies in existence across Centura Health. Teams of frontline caregivers and subject matter experts then worked together to consolidate and standardize clinical patient care policies and streamline the policy search and reference process.

We are thrilled to share that in just four days, we have achieved a two-thirds reduction in clinical care policies in PolicyTech! This includes:

We’d like to extend a heartfelt thank you to our Policy Bowl participants, whose dedication and expertise made this possible.

The real game winning goal is making our policies simple and user-friendly to better support the work of our incredible caregivers, and ultimately, we are committed to reducing the total number of clinical patient care policies by 85% by the end of FY22. We have made great strides toward this goal during the Policy Bowl! Over the coming months, we will continue our efforts to enable our incredible teammates to find the document they need, right when they need it, and ensure all clinical patient care policies reflect current best practices and regulations and are aligned across the system.

*Most policies that are flagged to be archived will remain available in PolicyTech until Dec. 31, 2021 to allow adequate time for transition and training.

Honoring our veterans this Veterans Day

Every year on Nov. 11, we pause to observe Veterans Day and honor our military veterans who so selflessly served – or are currently serving - our country. We especially want to take this time to recognize and thank our nearly 800 incredible caregivers who are veterans and their families for their service and sacrifice.

From serving their country to serving our communities, neighborhoods and patients, our associates who are veterans continue to uphold the value of selfless service through their work within our healing ministry.

Giving back to those who served

To truly live by our core Values, it is important that we support, celebrate and elevate the health and vibrancy of our communities – including our veteran community.

One way we have been able to help serve those who served for us, is through our community grant initiative. One of the recent awardees is The Veteran’s Community Project (VCP), a 501(c)(3) organization that offers support services to those who have served and works to make a difference in the lives of homeless veterans.

Our grant will help VCP build a village of tiny houses in Longmont, CO that will provide housing to homeless veterans in need. The housing is specifically made with a trauma-informed design, considering aspects like making sure the bed faces the door and ensuring there is extra insulation for noise reduction.

Maria Kneusel, Centura Health Diversity and Inclusion Specialist, recently visited the VCP village and met with VCP Director, Paul Melroy. Take a look inside the VCP village of tiny houses in Longmont:

We are so grateful to our veteran associates for their selfless service, willingness to help and their continued commitment to making sure every community, every neighborhood and every life is whole and healthy. Thank you!

Reminder: Upcoming changes to Email Retention Policy & access to personal email on Centura network & devices

To continually support and strengthen our culture of security at Centura Health, the following changes will be implemented in November:

Email Retention Policy

To increase cybersecurity and reduce cyber vulnerability at Centura, Information Security is reducing the email retention period from three years, to one year.

Presently, emails received are subject to the Centura Three Year Retention Policy.  Beginning Monday, Nov. 15, all emails that are older than one year will automatically be deleted. For example, emails received on Nov. 14, 2020 or earlier, will automatically be deleted when this new policy goes into effect on Monday, Nov. 15.

Users who require an exemption to the new email retention policy should submit an Email Retention Exception Request via the Self Service Hub. Please note, the requester must be a director and above and any exceptions granted will be very rare.

Access to private email on Centura network and devices

To continue with our focus on keeping Centura secure, effective Tuesday, Nov. 30, associates will no longer be able to access private email accounts (@yahoo, @gmail, etc.) on any Centura Health network or device.

Accessing personal email on the Centura Health network or devices can substantially increase the likelihood of downloading a virus, resulting in a data breach. Restricting the ability to access your private email accounts increases the safety at Centura and decreases the vulnerability of a data breach.

As our work and home lives become more and more digitally connected, we all must be responsible for taking an active role in cybersecurity, which ultimately benefits our patients, the communities we serve, and our friends and family.

For more information, review Centura Health Private Email Policy and FAQs .

Two owners required for all Microsoft SharePoint and Teams sites

All Centura Health caregivers have access to the collaboration tools, Microsoft Teams and SharePoint. To ensure information shared on these sites remains current and available to users, each site must contain at least two site owners. Site owners not only manage the permissions for these sites, they also receive important notifications when a site is up for annual review and renewal.

If you are receiving messages from Service Manager regarding a SharePoint or Teams site, please take action and follow the instructions in the message. Sites that do not have owners assigned are at risk of deletion due to no response to the site renewal messages.

How can you help?

If you are a site owner, please verify that your site(s) contain a minimum of two designated site owners. If the site does not contain two owners, please appoint a second owner using Site Permissions. If you are unsure how to designate a second site owner, submit a MS Teams/SharePoint Group Ownership Request through the Self Service Hub.

When a site does not contain a site owner, all members of the site are sent an email from Service Manager to identify two site owners. Please do not ignore these messages, instead submit a MS Teams/SharePoint Group Ownership Request through the Self Service Hub and identify two site owners.

If the site is no longer needed, select Inactive Team/SharePoint Group – Delete from the Action field within the MS Teams/SharePoint Group Ownership Request through the Self Service Hub.

Thank you for working together to ensure the resources and tools you need to perform your job remain available.
