Kronos WFD: New features now available

We are committed to supporting you and ensuring Kronos Workforce Dimensions (WFD) provides a top-notch user experience for our people. Several new capabilities are now available to create efficiencies for managers and timekeepers, and associates will soon have the ability to enter job code transfers at the clock.

Job code transfers
On November 30, job code transfers will return to the clock for non-exempt (hourly) associates. This capability will save managers/timekeepers time and allow associates to enter job code transfers for themselves. Key steps to understand:

A job aid for job code transfers at the clock is available in the WFD toolkit on MyVirtualWorkplace along with the trainings scheduled in November and December.

New capabilities now available for leaders and timekeepers
Last week, you may have noticed new capabilities that were not there before. These new features enhance processes and create efficiencies when working in WFD. Here’s what to look for if you haven’t already found these updates:

Zoom capabilities: A new icon is available at the top of your screen view (as shown in the screenshot below). Managers can easily drill in and out of schedules, timecards and data views when reviewing associate information, which will enhance working in WFD.  
 


Edit a schedule from a timecard
While working in an employee’s timecards, managers can now move into that associate’s schedule and quickly make updates without additional clicks to transition views. Please note, you will not be able to manage transfers on the schedule from the timecard or delete a shift. This must be done from the schedule page.

When a manager is reviewing their employee summary, they now have the choice to go directly to associates’ timecards or the associate summary, saving a step.

Pay period defaults
We listened to your feedback, and now WFD defaults to the current pay period when looking up all employees. This saves managers a click to set the time period when wanting to work in the current pay period.

Building knowledge and understanding of the best ways to work to meet your needs is a key focus area, and we highly encourage leaders and timekeepers to take advantage of our Payroll Monday support sessions or open training sessions through the end of the year. Call in at any time during the payroll Monday open sessions to ask questions and get support to end the pay period without errors. The next support session will take place Monday, Nov. 30, from 9 a.m. – noon.

Blood Stewardship campaign launches this month

As part of our shared efforts to achieve zero preventable harm, Centura’s laboratory team is working to eliminate harm by educating caregivers on best practices for blood transfusions, including minimizing transfusions and adhering to lower laboratory thresholds. These best practices, also known as restrictive transfusion practice, improve patient outcomes, including reduced morbidity and mortality and shorter lengths of stay. 

Adopting a restrictive transfusion practice is part of our journey to become a High Reliability Organization. The Centers for Medicare and Medicaid Services (CMS) defines all transfusion reactions, even the relatively common mild allergic type, as Patient Safety indicators (PSI). Additionally, per Leapfrog and National Quality Forum standards, hospitals should have zero fatalities from transfusions, which are considered Never Events.

Although any individual transfusion cannot be deemed appropriate or inappropriate by laboratory value alone, benchmarks are used to assess our performance. Data on Centura’s transfusion practices was benchmarked against both CommonSpirit Health data as well as peer reviewed publications, and the analysis revealed significant opportunity within Centura to reduce unnecessary transfusions.

 

Posters promoting blood stewardship and restrictive transfusion practices will be placed in key locations around your facility. If you would like more posters, they are available for order in CHIP under item numbers CHPS-034, CHPS-035 and CHPS-036.
To encourage restrictive transfusion practices across our enterprise, a campaign to promote blood stewardship will launch in November. This campaign will provide education on the opportunity to improve outcomes, lower risks and reduce costs through better management of blood products.

As part of this campaign, each entity will receive a quarterly report card providing an overview of their current transfusion practices as compared to other Centura hospitals and our established benchmarks. Additionally, each hospitalist will receive a provider report card with similar information regarding their own individual transfusion practices*. The first entity and provider report cards will distribute in mid-November, and the lowest-performing providers will be supported with individualized feedback and ongoing communication with laboratory and clinical leadership.

In addition to supporting restrictive transfusion practices, laboratory services will provide clear criteria for phlebotomists regarding collection of extra tubes of blood. Routine collection of extra tubes is not recommended due to the associated risk of anemia. 

We appreciate your support and collaboration as we work together to ensure our blood transfusion and collection practices are aligned across the enterprise to better support the whole health of our patients.

*Hospitalists’ transfusion practices often, in part, reflect ordering requests from specialist consulting providers, who may infrequently place transfuse orders themselves. In light of this, we request that specialty providers remain open to conversations and questioning around transfusion requests with their collaborating hospitalists as we work together to improve our transfusion practice and ensure we deliver the safest possible care to our patients.

On Sunday, Nov. 22 Information Technology (IT) will perform monthly maintenance on the following critical applications and services, which will be unavailable from 11:30 p.m. (23:30 MT) and last until 2 a.m. (02:00 MT) on Monday, Nov. 23.

Ascom Vital Sign Alerts (St. Francis NICU) Ascom will not provide vital sign alerts to Cisco phones and requires the downtime procedures to be initiated.
Avasure Virtual Telesitters Avasure Virtual Telesitters will be unavailable. Initiate downtime procedures including in-person sitting coverage.
HUGS HUGS Infant security system will be unavailable. Onsite security should be notified of downtime and unit doors monitored.
Natus Neuroworks Please initiate downtime procedures.
Nurse Call Systems (All) Nurse Call systems will not send alerts to phones. Nurse Call alerts will alarm at the main console. Downtime procedures should be in place and the nurse call console should be monitored while the system is down.
OBIX OBIX will be unavailable. Downtime procedures including in-person monitoring should be initiated which may require increased staff.
Point of Care lab tests uploading to Epic Point of Care lab results will not upload to Epic during the full maintenance window. POC tests completed during the downtime will upload to Epic once the downtime is complete.

WellSky Transfusion – Blood Bank WellSky Transfusion (Blood Bank) will not be available.  The labs should initiate downtime procedures if the application is needed during the downtime.
Computer workstation security udpates Following the installation of workstation updates, you will see a 15-minute countdown and then the workstation will automatically restart.

Making a difference, $1 at a time

It is estimated that one in seven Coloradoans struggle with hunger. The Coronavirus (COVID-19) pandemic has caused even more in our community to experience food insecurity and has increased the demand for charitable food assistance. 

As part of our “Season of Thankscaring” the corporate offices are asking associates to consider making a donation now through Nov. 30 to the Food Bank of the Rockies.

At this time, Food Bank of the Rockies is encouraging individuals to make cash donations as they do not have the means or manpower to properly sanitize food donations to the standards necessary to prevent the spread of COVID-19.

For every dollar Food Bank of the Rockies receives four meals can be distributed! Think how many people you could feed by forgoing your daily cup of joe and donating the money instead. No donation is too small! Even a quarter can provide a meal to someone in need.

No one should have to worry about where their next meal will come from. Please join us and give hungry families the opportunity to thrive.

Spread warmth this season

The corporate offices will again participate in Coats for Colorado as part of our “Season of Thankscaring”. As many of our incredible people are currently working from home, this year associates are asked to deliver their gently-used costs to any local Dependable Cleaners location through Nov. 30.  

Donated coats will be distributed to area nonprofit organizations. Dependable Cleaners will clean the coats prior to distribution.

We are proud to continue to support this event that has helped Coloradoans since 1981. Since its start, Coats for Colorado has collected, cleaned, and distributed over 2 million coats in the Denver metro area. 

Your kind donations help to provide warm winter coats at no cost to Coloradoans of all ages.
