2111 and 2113 Special Licenses Reminder
Attention departments with 2111 and 2113 Special Licenses: These special licenses are renewed each year, if applicable. Please make sure you are aware of the expiration date of the current license, and contact Sonha Castelli, sncastel@hs.uci.edu, three months prior to the expiration for renewal information.

Department Voting Procedures – AP-53 Form
The AP-53 Voting Procedures form is due to the School of Medicine Academic Affairs Office of the Dean on Thursday, June 1, 2023. An Email was sent out to CAO/DA’s and department analysts on March 6, 2023.

If the department would like to extend the vote to its non-Senate faculty, please be advised that the department must submit both the AP-53 form and a proposal signed by the Dept. chair along with the department opinion (vote) to the Dean’s analyst in order to request approval from CAP. Once approved, the department may record the ‘Non-Senate Advisory’ vote on all actions involving Senate faculty.

New Appointments – Did you Know?
How long will it take to have a new appointment file approved?

It can take between one and four months to obtain approval on a new Faculty appointment.

Depending on the title series, and rank/step of the new appointee, each appointment file undergoes several layers of review. Each file is reviewed by the Dean’s analyst, then a School of Medicine committee, and then could move on to either Vice Provost or CAP-level review.

Files that need only Dean’s level committee review will typically take about 4-6 weeks from file submission to approval. Files that require CAP review and approval please add 4-8 weeks to that time (total 8-14 weeks). This is especially true during the ‘busy’ season, May thru July.

CAP takes a hiatus from late July to late September. Please make sure to submit complete files in a timely manner.

Your Dean’s analyst can help you determine when a file should arrive to our office and an estimate of approval time. Please remember: Special cases and Appointment files that are incomplete will require extra time. Files may be sent back for additional information at any level of review.

Recruiting from another Campus
When your department is recruiting Senate faculty from another UC Campus, please let your Dean’s analyst know as soon as possible, and before any tentative offer is made.

The Dean’s analyst will work with the Vice Provost’s office to notify the other campus. If a formal offer of appointment is made after April 1st, for service during the immediately following academic year, our school will need to request a waiver.

Reminders: Due Dates
Mar. 17: ADMINISTRATIVE APPOINTMENTS

The Academic Appointment Memo Template must be used. Also, the letters must be routed to your School of Medicine Academic Affairs Dean’s analyst for final review and Dean’s signature. Completed memos are due to the Office of Academic Affairs no later than March 17, 2023.

Mar. 31:  ACADEMIC ENRICHMENT ACCOUNT
Completed Academic Enrichment Forms must be bundled and sent to your Dean’s analyst no later than March 31, 2023.

April 5 & 26:  2023-2024 Renewals and Adverse Actions
Non-Renewals and Partial Renewals (Adverse Actions) are due to the School of Medicine Academic Affairs Office of the Dean on April 5, 2023. General renewals are due to the School of Medicine Academic Affairs Office of the Dean on April 26, 2023.

Important deadlines and information related to Renewals and Adverse Actions will be distributed the week of March 13th. Please plan on attending the Faculty Tracking and Annual Renewals training for more information

May 1: 2023-2024 ACADEMIC ACTIONS
The Proposed Academic Actions Report is due to your School of Medicine Academic Affairs Dean’s analyst with a list of proposed actions by May 1st.  

June 1: Departmental Voting Procedures (AP-53)
Chairs must review the AP-53 form and departments must submit to your assigned Dean’s analyst by June 1st.
