Update: School of Medicine Committee Review Schedule — 2024
There are two new updates to the 2024 School of Medicine Committee Review Schedule (PDF). The schedule has been updated to include file deadline dates, and beginning with the 24–25 review cycle, the ARAC and CXAC committees will review Above Scale Merits 2 and 3.
New Faculty and Faculty Leaves
The School of Medicine has developed two new guides:
- A New Faculty Guide which provides new faculty with a summary of the resources available to help them embrace our mission: Discover. Teach. Heal.
- A Faculty Leaves guide which provides new and existing faculty with information about paid leave options.
Recruitment Workflow — Shortlist
Our office would like to remind all departments that an approved Shortlist is required prior to scheduling and conducting interviews on all Senate and non-Senate Faculty and non-Faculty recruitments.

Affiliates — New Form
The Affiliate Site Verification and HSCP Agreement Form (download PDF and use Adobe Acrobat to view) was introduced to department analysts in December 2023; this form is required annually in the spring and is also due to come forward with new faculty files for any faculty that is appointed at an Affiliate site.
ZIP Loans: In Residence and Clinical X Series Faculty
Reminder: Tentative Offer Letter Templates for Clinical X and In-Residence series include information related to the ZIP loan. If you are not offering the ZIP Loan to your Clinical X or In-Residence candidate, please be sure to remove the paragraph from the template. See sample paragraph from Clin X template below:
You are approved for a forgivable Zero Interest Supplemental Home Loan (ZIP loan) up to a maximum of $78,900, if it is used for the purchase of a home outside of University Hills within four years of starting your employment. [Clinical X series may be offered the ZIP loan, but the amount must come from the department. Please stipulate if you wish to offer the ZIP loan as part of the agreed-upon setup or on top of the agreed-upon setup.] Please note that loan forgiveness, if any, will be reported as taxable income in the year forgiven on a W-2 form and is subject to standard withholding requirements (Source: University of California Employee Housing Assistance Program Requirements).

Upcoming Deadlines
2023–24 Review File Submissions
The Dean’s Office requests any late files to be listed in the ‘Late File Justification’ report and sent to your Dean’s Analyst along with the cover letter signed by the department chair. Reach out to your assigned Dean’s Analyst for more information and templates.
CHAIR/FACULTY ANNUAL DEADLINES
March 17: TNS NEGOTIATIONS — The chair should meet with each individual faculty on an annual basis to negotiate the TNS rate. Mid-year TNS negotiations are unlikely to be approved, so we ask that these discussions occur in a timely manner, by Friday, March 17.
March 17: ADMINISTRATIVE APPOINTMENTS — Use the Academic Appointment Memo Template and follow the Administrative Compensation for Faculty Administrators process flow. Completed memos are due to the Office of Academic Affairs by Friday, March 17.
April 15: ACADEMIC ENRICHMENT ACCOUNT — Faculty should make their Academic Enrichment designations for FY 23/24 using the School of Medicine Academic Enrichment AEA Election form. Completed forms should be bundled and sent to your Dean’s Analyst no later than Monday, April 15.
May 1: ACADEMIC ACTION — Chairs should discuss any upcoming Academic Review Actions for Academic Year 2024–25. Using the Proposed Academic Actions Report, please provide the School of Medicine Academic Affairs Dean’s office with a list of proposed actions by Wednesday, May 1. Departments should begin making preparations for the 24-25 Academic Review cycle; view the 2024–25 School of Medicine Academic Affairs Review File Deadlines.
